Can AI book appointments automatically?
Yes. Reading a request and putting it in a calendar is solved. What breaks is everything around it: a calendar that is not the real one, rules nobody has written down, and two people asking for Saturday at ten within the same minute. Get those three right and the booking looks like magic.

The calendar has to be the real calendar
The commonest failure is not technical. It is that the calendar the software can see is not the one the business actually runs on.
If appointments live in a paper diary at reception, or in one person's head, or in a group chat, then software booking into a separate calendar will double book you by lunchtime. That is not the software being wrong. It is two sources of truth.
So the first question is not can AI book appointments. It is where do your appointments really live, and is everyone using it.
Your rules exist, they are just not written down
Every business has them and almost nobody has them on paper. A new patient needs a longer slot. Nothing after 6pm on a Friday. Two of these cannot be back to back because the room has to be cleaned. That customer always books with Rania.
Getting those out of people's heads is most of the work and it is worth doing whether or not you automate anything. Half of them turn out to contradict each other, which is useful to discover on a Tuesday rather than through an angry customer.
Two people asking for the same slot
This is the case that separates a real booking system from a demo, and it happens constantly on WhatsApp because people message at the same times.
What should happen is that the slot is held the moment it is offered, and released if the person does not confirm. What should not happen is offering the same ten o'clock to three people and letting reception sort it out.
Ask any vendor this question specifically. It is the one that reveals whether they have run this on a real business or only shown it.
Confirmations, changes and cancellations
Booking is a third of it. Most of the actual traffic is people moving a time or cancelling, and that is where a rigid system pushes everyone back to phoning reception.
Making it easy to cancel feels like inviting cancellations. It is the opposite: the alternative is somebody who cannot be bothered to call and simply does not turn up, and you find out when the slot is empty.
What to watch in the first two weeks
Look at the bookings it made rather than the conversations it had. The conversations will read fine. The bookings are where a wrong rule shows up.
Watch for slots offered that should not exist, appointments too close together, and anything booked with the wrong person. Each of those is a rule that lived in somebody's head and never got written down, and each takes a minute to fix once you have seen it happen.
After a fortnight the rules have usually settled and you stop checking. Before that, ten minutes a day is worth it, and any vendor telling you no supervision is needed has not run this on a real business.

- What if somebody asks for a time we cannot do?
- It should say so and offer the nearest thing it can, then ask whether to come back if something opens. Ours asks first and comes back once, never repeatedly.
- Does reception still need to check it?
- Worth a glance for the first couple of weeks while the rules settle. After that it is the exceptions that need a person, not the bookings.
